IT System Restoration Update

Cincinnati State is investigating a cybersecurity incident that occurred in early November.

The College is making excellent progress towards restoring many systems and services. Classes for students are continuing on all campuses and online. Email is operating.

However, ensuring that affected IT systems are clean and ready to be restored takes time, and many of the College’s online services remain offline.

Please refer to the information below for updates regarding How-To’s, System Statuses for all of the College resources affected by the outage, and FAQs to help answer some questions in more detail.

How to…

Register for Spring 2023 classes (updated 11.29.22, 11:45pm)

Students who are ready to reserve a place in their classes for Spring 2023 can now use the new Cincinnati State app called “DualEnroll“.

This app is consistently being monitored to ensure accuracy in the class listings and information.

  • All students will be required to create an account.
    • Instructions are provided for guidance in the app
    • New accounts will require a Student ID number, name, address, and other contact information
  • After a new account is made, further guidance will assist with making course selections.

Please note that MyServices continues to be unavailable. DualEnroll will function as the only way to reserve classes for Spring 2023.

Students’ scheduling needs are a priority to us. If an academic advisor suggested a class that you’re experiencing difficulty reserving, please contact your advisor immediately for assistance.

Reset my Cincinnati State password (updated 11.29.22, 6pm.)

Starting on Nov. 30 at 6 a.m., all Cincinnati State passwords will expire and will need to be reset.

  • Students and employees received a Cincinnati State email message on Nov. 29 (about 5:15 p.m.) with instructions on how you can reset your password.
  • The reset process begins at 7 a.m. on Nov. 30.

Apply for Financial Aid

Students are able to complete the FAFSA at and list Cincinnati State on the FAFSA with code 010345.

The Office of Financial Aid is available to assist in completing the FAFSA and for providing financial aid estimates. However, financial aid processing is not available at this time.

Upgrade the security software on my Cincinnati State loaner laptop

Students with loaner laptops received an email on November 15th from CStateAlert with instructions on how to install the Carbon Black and Redcloak security software on their laptops.

If you have not done this by now, your access to Blackboard has been temporarily disabled.

You can access Cincinnati State email by clicking: (and then click Sign In).

Follow the instructions in that email to install the Carbon Black and Redcloak software. Next, call the Technology Helpdesk at 513-569-1234 to get your access to Blackboard re-enabled.

If you cannot find the email, call the Technology Helpdesk for assistance.

Request a Cincinnati State Transcript

Please complete the Official Transcript Request form. Bring the form to the Registrar’s Office (ATLC 105) or email the form to

The Registrar’s Office is keeping track of the requests and replying to requests as quickly as possible. Please be patient if you experience delays.

If you need a transcript quickly to provide to a school, an employer, or for another reason, we can provide an official letter from Cincinnati State that explains the reason for delays. If you would like a letter to share with those who need your transcript, please send your request to the Registrar’s Office by email.

Find my Student ID number

Students who need to locate their Cincinnati State Student ID number can get help at the Library (walk-in or send an email message from your Cincinnati State account). Be prepared to show a second form of proof of your identification, such as a driver’s license.

Withdraw from a Fall 2022 class (updated 11.21.22 10am)

The last day to withdraw from a Fall 2022 class has been changed to Saturday, Dec. 17, 2022.

To withdraw from a class, use one of the processes below.

Option 1: Fill out the “Registration Activity Request” Form (click to download)

  • Fill out the top of the form with your Name/Student ID number/Semester/Year/Phone Number
  • If you don’t know your student ID number, see “Find my student ID number” in this list of How-To’s
  • In the section “Drop/Withdraw from Classes” at the bottom of the form, fill out the information for the class you want to drop
  • Take the completed form to the Registrar’s Office (ATLC 105) or email the form from your Cincinnati State email address to

Option 2: Send an email message to the Registrar’s Office ( from your Cincinnati State email address, and include:

  • Your name
  • Your Student ID number
  • The course(s) you want to withdraw from. For each course, include the department code, the course number, and the section number (for example, ENG 101-001, or MAT 131-012)
  • The last date you attended the class (or for an online class, the last date you logged in)

Get verification of my enrollment status for Fall 2022 or Spring 2023 (new 11.21.22 9:45pm)

If you need verification of your enrollment for Fall 2022 classes, please request verification from the National Student Clearinghouse. (You’ll need to create an online account if you don’t have one already.)

The Registrar’s Office cannot provide official enrollment verification for Spring 2023 classes, because the semester hasn’t started yet. If you need to show an employer or someone else proof that you have registered for Spring classes (or reserved classes using DualEnroll), please send an email message from your Cincinnati State email address to and the staff will help you.

General Questions

What happened?

Cincinnati State is currently working with cybersecurity professionals to respond to a network security incident that happened in early November. The security investigation requires a temporary network outage that affects several College online processes. See the complete list in the System Status section.

When will the systems be restored?

The cybersecurity investigation is still in process. We will update students and employees as soon as possible when we have a timetable for restoring processes.

How can I apply to Cincinnati State? (updated 11.22.22 10:30am)

Please go to the Apply for Admission page, select the form that is applicable to you, and fill it out.

We are currently using a version of the College’s job application software to process applications for admission… so if the form sounds like a job application form, just go with it!

You may schedule an appointment in Starfish to meet with an academic advisor. However, we cannot provide degree audit information at this time.

How can I register for Spring?

You may RESERVE your Spring 2023 classes through the new reservation system called DualEnroll. See “how to register” in the How to section of this page for more information.

The information and link to the reservation system is  sent to your Cincinnati State email. If you are a new student, the link will be sent to to your personal email on file with the College. 

Paying Bills for classes

I received an email on Nov. 9, 2022, saying I owe a balance for Fall 2022. I thought my financial aid covered my bill—what should I do?

Because of the network outage, we can’t review your financial aid status. Please wait until you get a message from the College saying systems are restored, and then the Cashier/Bursar’s Office can investigate why your aid did not cover your balance as of Oct. 26, 2022.

Why can’t I make a payment through the Bill Payment Center?

The College’s payment processor (TouchNet) is connected to other systems that are currently not available, so we can’t accept electronic payments at this time. We apologize for the inconvenience.

Will I be allowed to register for Spring 2023 if I still owe a balance from Fall 2022?

Yes. Students currently registered for Fall 2022 will be able to register for Spring 2023, even if you owe a balance.

However, your Fall 2022 bill needs to be paid before the Spring 2023 semester starts on Tuesday, Jan. 17, 2023. If the Fall 2022 bill is not paid by Monday, Jan. 9, 2023, you will be de-registered from your Spring 2023 classes.

How can I reset my Cincinnati State password?

Employees or students who need to reset their password should call the Technology Helpdesk at 513-569-1234, option 1.

How can I find out my employee ID number?

The Library can assist you– please walk in or send email (from your Cincinnati State account, to rather than a phone call.

How am I supposed to report my hourly work time, or report if I’m using sick days or leave days? How do I know if I’m getting paid correctly while network systems are down? (new 11.22.22 6:15pm)

Both employees and supervisors should be keeping track of hours worked for hourly employees, starting from Oct. 23, 2022, until systems are restored.

Employees and supervisors should also be keeping track of the sick time and other leave you use, starting from Oct. 23, 2022, until systems are restored and SurgeTime is available.

After SurgeTime is available again, employees will receive instructions on how the College will record hours worked, sick leave, and other leave during the time that SurgeTime was unavailable.

Employee paychecks for pay dates Thursday, Nov. 10, and Friday Nov. 25, use the payroll information that was available on October 25, 2022.

  • For most employees, the Nov. 10 and Nov. 25 compensation is correct.
  • Some employees were overpaid and some were underpaid on the November paychecks.
  • The College will make pay adjustments as soon as possible after network systems are available. Individuals who were overpaid will have it deducted from future pay. Individuals who were underpaid will receive that compensation in a future paycheck.

How can I change my voice mail answering message so callers know they should NOT leave a message?

Call Anthony Philpot at 513-569-1718 for assistance. At this time, updating messages for divisions/departments has priority over updating individual employee messages.

I’m advising new students but I don’t have any information to help make good advising recommendations– can I get copies of high school transcripts for these students?

Admissions is working on a temporary solution to providing advisors with transcripts/test scores for new students (information stored in Perceptive Content).

A Microsoft Teams group called “Transcripts” is the temporary storage area.

This Transcript Group includes an Excel file called “future advising appointments.”  If you enter the student name and the date of the advising appointment at least 24 hours prior to the appointment, Admissions will try to provide transcript information if it is available.

I’m a faculty member and I’d like to submit an Administrative Withdrawal for a Fall student– how can I do that? (updated 11.22.22 10:30am)

A process for Administrative Withdrawals for Fall is still being developed. The date for students to withdraw from Fall classes, and the date for faculty to submit Administrative Withdrawals, has been extended until Dec. 17, 2022 (the last day of Fall semester).

I’m a faculty member and I need to report an academic matter that I’d usually include on a Maxient report– what should I do? (new 11.22.22 11:45am)
